Time off policies allow your employees to earn and request paid or unpaid time off. Each shop automatically comes with a generic time off-policy that has all of your employees enrolled.

You are also able to create additional time off policies that pertain to unique kinds of time off, such as maternity leave or holidays.

Creating a Time Off Policy on the Web Dashboard

Your shop will come with a basic time off policy that all of your employees are automatically enrolled in. However, you are able to create additional, unique time off policies on the Dripos Web Dashboard.

  1. Log on to the Web Dashboard. Once signed in, select Team > Time Off Policies:
  1. Click on the Create Policy button in the top right corner:
  1. Once on this page, you will need to fill in the following fields:

Name: Here, input what you would like the policy to be called.

Type: Select from the dropdown the type of time off policy you are wanting to create. You have the option to choose between the following types: Generic Time Off, Paid Time Off (PTO), Parental Leave, Sick Leave, Vacation, Personal Time, and Holiday.

Description (Optional): Here, you have the option to attach a description to the policy.

Time Off Requires Approval: If set to yes, time off requests will need to be approved by a manager in the approval center.

Unlimited Hours: If set to yes, employees will have no limit on the amount of hours they can request off.

Paid Hours: If set to yes, employees will be paid for hours they take off under this policy.

Paid Dismissal: If set to yes, employees will be paid for accrued time off hours upon dismissal.

Policy Categories: If set to yes, employees will need to select a time off category when sending in requests.

If the Policy Categories field is set to yes, a section will automatically appear below where you will need to add the categories name and the amount of notice needed:

  1. Once you have finished filling in the required fields, click Next:
  1. On the next page, you will need to provide the following accrual details for the policy:

Accrual Method: From the dropdown, select if you would like the policy to have either a Fixed Rate or Hourly accrual method.

Yearly Allotted Hours (Optional): Here, you have the option to input the amount of hours that you want to automatically be awarded to employees enrolled in this policy each year. Earning Cycle: From the dropdown, select if you would like the policy’s earning cycle to be either a Percent Every Quarter, Starting Today, or Every Calendar Year.

If Percent Every Quarter is selected, this means 25% is paid to the employee every quarter.

  1. Once you have finished filling in the required fields, click Next:
  1. You will then be taken to the policy limits section, where you will need to fill in the following information:

Accrue Waiting Period: Input the number of days before an employee can begin to accrue hours under this policy.

Request Waiting Period: Input the amount of days before an employee can begin to request time off under this policy.

  1. Once you have finished filling in the required fields, click Next:
  1. You will then be taken to the final review screen, where you will want to confirm that all the information you inputted is correct. If you need to change any information, you can go back to edit as you see fit. Once everything is good to go, click Submit:
  1. You will then be taken to the policy’s information page. To enroll employees into the policy, click on the Enroll Employees tab > select the Enroll Employee button:
  1. This will prompt a pop-up to appear, where you will need to fill in the following fields:

Employee: Select the employee you wish to enroll from the dropdown. Employee Hours: Input the number of hours, if any, that the employee previously collected under the policy. Override Approvals: If set to yes, the employee’s time off requests will be auto-approved.

  1. Once you have finished filling in the required fields, click Add:

Time off Requests

Employees are able to submit time off requests under any of their enrolled policies directly from the Dripos Hub App.

Additionally, managers can also manually submit time off requests on behalf of employees from the Dripos Web Dashboard.

Submitting Time Off Requests on the Web Dashboard

  1. Log on to the Web Dashboard. Once signed in, select Team > My Team > select the Employees tab on the far right:
  1. Locate the specific employee you wish to submit a time off request for > click View:
  1. Once on the employee’s information page, scroll down and click on the Time Off tab:
  1. Click on the Add Time Off button:
  1. This will prompt a pop-up to appear, where you will need to input the following information:

Time Off Policy: Select which of your enrolled time off policies you want the time off request to pertain to.

From: Select a start date for the time off request.

To: Select an end date for the time off request.

Partial Days: If the request is not for the full day off, click on the box next to the Partial Days field. You will then need to input the number of hours you want off on each day requested off.

Notes (optional): Here, you have the option to attach any additional notes to the request.

  1. Once you have finished filling in the required fields, click Add:

Submitting Time Off Requests on the Hub App

  1. Click on the My Time tab at the very bottom of the screen:
  1. Once on this page, click on the time off requests button:
  1. Here, you will be able to see all time off policies that you are currently enrolled in. To submit a time off policy for a policy listed, click on the view button to its right:
  1. This will prompt a pop-up to appear where you can view your lifetime used and accrued hours under that specific policy:
  1. To submit a new time off request under this policy, click on the Create Request button at the bottom of the page:
  1. On the next page, select the date range that you would like time off during, and, if the partial days setting is turned on, the total amount of hours that you would like off each day. Additionally, you also have the option to attach notes to the request:
  1. Once you have finished filling in these fields, click Submit Request:
  1. The request will then automatically be displayed in Requests tab on the Time Off Requests section, where it will remain until officially approved by a manager in the approval center:

Running Time Off Policies on the Web Dashboard

  1. Log on to the Web Dashboard. Once signed in, select Team > Time Off Policies:
  1. Click on the Run all Policies button in the top right corner:
  1. You will then be taken to the employee policies breakdown page, where you will be able to see the total hours worked, hours earned, and hours balance for each of the policies:
  1. Once you have confirmed that everything is good to go, click Next:
  1. You will then be taken to the final review page where you will be able to see the total hours tracked and total hours earned for employees enrolled in the policies. Once you have confirmed that everything is good to go, click Submit:
